AI Receptionist vs Answering Service: An Honest Comparison

Full disclosure first: Deplyra builds Anseya, an AI receptionist, so you could reasonably expect this comparison to be rigged. It is not, for a practical reason: an AI receptionist sold to a business it does not fit gets switched off within a month, and everyone loses. So here is the comparison we actually believe, including where the human service wins and the failure modes AI vendors prefer not to mention.

What each thing actually is

A human answering service is a shared pool of operators answering under your business name from a script, taking messages and forwarding calls. You typically pay a monthly base plus a per-call or per-minute rate, and costs climb linearly with volume.

An AI receptionist is software on your phone line: speech recognition, a language model working from your business's facts and rules, and a synthetic voice. It answers instantly, at any hour, in parallel (five simultaneous callers do not queue), and sends you the outcome as a message. You pay for the service and the minutes, and marginal cost per extra call is small.

Where the human service still wins

  • Genuine emotional weight. A distressed caller, a bereavement, a furious customer: a good operator reads tone and adapts in ways current AI does not reliably match. If your calls are often emotionally heavy, humans earn their price.
  • Off-script judgement. Operators improvise around ambiguity. An AI works from the facts and rules it was given; ambiguity outside them produces either a safe refusal or, with a badly built one, a confident wrong answer.
  • Trust optics in some trades. For some clienteles, "a person answers" is itself the product. Know your callers.

Where the AI genuinely changes the economics

  • The missed-call problem. For trades and small practices, the expensive call is the one at 7pm while you are on a ladder. The caller does not leave a voicemail; they ring the next listing. Answering every call instantly, around the clock, is the entire value proposition, and it is one humans price at a premium.
  • Languages. A caller who opens in Urdu or Romanian gets answered in their language, not asked to hold for an operator who does not exist. Multilingual human coverage at small-business prices effectively does not exist.
  • Perfect consistency. The AI never forgets to ask for the postcode, never mishears the price list it was given, never has a bad shift. Its failures are different (see below), but script adherence is total.
  • Parallel capacity. A storm sends thirty calls an hour to an emergency plumber. A human service queues them; the AI answers all of them at once.

The failure modes vendors do not advertise

We ship one of these systems, and it earned its production status through real calls that exposed faults no offline test had found. Things worth knowing before you buy from anyone:

  • Speech recognition is the weakest link. Telephone audio is low quality, callers have accents, and multilingual callers switch language mid-sentence. When we benchmarked speech engines on real telephone-quality audio, the differences were large and sometimes bizarre; one wrote Urdu in the wrong alphabet entirely. Ask a vendor which engine they use and what they measured.
  • A confident model will fill silence with fiction. Unconstrained, a language model asked about a price it does not know may invent one. The fix is architectural: the agent answers only from your provided facts and rules, and says so when it does not know. Ask a vendor to demonstrate the "you do not know this" call.
  • Emergencies must never reach the model. A model having a bad day about "I can smell gas" is a model that hurts someone. The correct design detects emergency phrasing deterministically, before any AI reasoning, and delivers a scripted response directing the caller to the emergency line. In our system that logic is code, not a prompt, and safety information is never delayed to capture a lead.
  • Language support must include safety. A vendor advertising a language has, too often, tested the booking flow and not the emergency phrases in that language. Our own rule is that a language ships only when its emergency lexicon is covered. Demand the same rule from anyone.

How to decide

Count a week of missed calls and put a value on them; that number usually makes the decision. If your calls are mostly bookings, quotes and questions with factual answers, the AI's economics are hard to beat. If your calls are mostly sensitive conversations, pay for humans. Many businesses land on both: AI for out-of-hours and overflow, humans for the front desk.

Do callers hang up when they realise it is an AI?

Some do, and any vendor claiming otherwise is selling. The pattern that reduces hang-ups is disclosure up front: an agent that says it is an AI assistant and immediately proves useful keeps far more callers than one that gets caught pretending. The callers you lose to disclosure were mostly callers who wanted a human for a job the AI could not do anyway.

Is an AI receptionist legal for recorded calls?

Recording laws vary by country and often require informing the caller. The safe engineering answer is to disclose recording in the greeting on every call, which is how we built our own system. Treat any vendor who shrugs at this question as a risk.

Can an AI receptionist handle an emergency call?

It must refuse to handle it, fast. The correct behaviour is deterministic: detect emergency phrasing without waiting for an AI to reason, deliver a scripted safety response such as directing a gas-smell caller to the gas emergency line, and get out of the way. Ask any vendor to demonstrate this exact call.
